Scope of Agency Work

Project Management

To ensure the successful execution of San Diego Theatres’ rebrand and all subsequent projects while maintaining consistent communication and progress tracking, we propose the establishment of regular weekly or biweekly meetings. These meetings can be conducted either in person, via Zoom, or over the phone, according to the client’s preferences. Given our San Diego-based presence, in-person meetings can be scheduled as frequently as desired by the San Diego Theatres team or board.

Internally, our team possesses the requisite expertise to effectively manage the requirements and scope outlined in the Request for Proposal’s Scope of Work. In addition to assigning a dedicated account coordinator and account executive for your project, we commit to having senior management present in all meetings and discussions to ensure the execution of the proposed strategy.

Our Operations Department diligently prioritizes and oversees all project components to guarantee that each client receives the deliverables discussed, reviewed, and agreed upon in our weekly meetings. We implement a cross-training approach across our team, enabling seamless support in the absence of a designated point-of-contact, thus ensuring uninterrupted progress on client work and projects. This approach ensures that all team members remain fully aligned with client expectations and project deadlines.

Furthermore, as our agency expands, we possess the flexibility to augment our team with additional members in each department, allowing us to maintain the high-quality work and communication standards that our clients have come to expect. This commitment to implementing a comprehensive cross-training strategy and consistently upholding exceptional work standards and client engagement has led many to inquire, “Are we your only client?”

Print Collateral Production Management

InnoVision Marketing Group operates with a dedicated Operations Department that holds a crucial role in ensuring the smooth execution of both internal and external projects, including those involving print vendors. One of the primary responsibilities of this department is to establish and maintain relationships with print houses, which is essential for delivering high-quality marketing materials to our clients. Despite our collaborations with external vendors for print projects, we adhere to our brand standards consistently and hold these vendors to the same exact standards.

Our approach to developing print collateral involves obtaining bids or quotes from at least three print houses for each project. This method aims to ensure product quality while controlling costs. To guarantee timely delivery of print assets, we closely monitor the progress of each print job once a vendor is selected. We have extensive experience collaborating with print vendors on a wide range of projects, including promotional items, wayfinding and monument signage, informative pamphlets, monthly newsletters with numerous variations, and more.

InnoVision remains committed to building strong relationships with local print houses and vendors, all in the pursuit of delivering top-notch marketing solutions to our clients from start to finish.

Accounting and Financial Stewardship

One of our paramount strengths lies in effective communication. We specialize in this domain and are committed to offering San Diego Theatres impeccable 24/7 client service correspondence. Our approach includes regular weekly or biweekly meetings and comprehensive recaps. Additionally, we provide monthly task lists that meticulously outline the progress of all projects and services conducted in the preceding month, along with financial statements tailored to the client’s preferences.

Our unwavering commitment to transparency extends to billing practices, ensuring that you have clear expectations for each project we undertake. Our versatile team can adeptly tailor invoices and estimates to align with San Diego Theatres’ specific company protocols. Typically, when addressing print projects or collateral requirements, we prepare estimates after thorough project specification discussions with you. We maintain an open dialogue about the estimate itself and the corresponding deliverables, all while prioritizing alignment with your budget, ultimately culminating in a finalized quote.
